Embed Fonts So Others Can View / Edit Presentations

SUMMARY: Include copies of unique fonts in your PowerPoint 2010 presentations so they can be seen as designed by others.

Perhaps you create presentations in Microsoft PowerPoint 2010 that use many non-standard fonts. If you distribute these to co-workers, friends, or family members, PowerPoint is forced to replace the fonts in the presentation with those on the recipients' systems as they may not have the same fonts. Thus, the presentations may not look the same as you designed.

One work-around is to distribute a file with fonts embedded (included). These fonts can be used only inside PowerPoint 2010 to view and/or edit the presentation.

1. Open a file that you wish to distribute with fonts embedded.

2. Select the "File" tab in the Ribbon.


3. The Microsoft Office Backstage View appears. Click the "Options" button.


(Or instead of steps 2 and 3, press Alt + T, then the letter O.)

4. The "PowerPoint Options" dialog box appears. Click "Save" in the left pane.


5. Underneath "Preserve fidelity when sharing this presentation", you can click the pull-down and choose from the currently open presentations.

6. Check "Embed fonts in the file".

7. Click one of the following radio buttons:

* "Embed only the characters used in the presentation (best for reducing file size)" - note that this effectively prevents certain types of edits to the presentation

* "Embed all characters (best for editing by other people)"

8. Click "OK" on the bottom-right of the dialog box to close it.

9. Re-save the presentation, or save a copy for distribution.
