Insert a Linked Picture to Decrease Size of Publication Files

SUMMARY: Instead of creating huge publication files by embedding all pictures contained therein, link to the images instead.


 

By default, when inserting pictures such as photographs into Microsoft Publisher 2007 documents, the graphics are embedded into the publication. This way if you distribute the files to others, they will be able to view the publications as intended with all graphics available. Plus they can perform edits as necessary such as editing an image's brightness or contrast.

Inserting large graphic files into a Publisher file can increase its size dramatically. If you are the only user editing a Publisher file, or if Publisher files are accessible by your coworkers on a common network location, and if images may be re-used by multiple publications, you may instead choose to link to files on your hard drive or network hard drive.

Note that if you copy the file to another computer that does not have the image files in the exact same place, your document may not appear as intended!




1. Select "Insert" - "Picture" - "From File" as normal.

2. When the "Insert Picture" dialog box appears, navigate your system to find the file you wish to insert.

3. Before clicking the "Insert" button, click the down-pointed arrow next to it.

4. Select "Link to File" from the pop-up menu.
